Residence Life and Conduct Coordinator at Pacific University

The Residence Life and Conduct Coordinator is dedicated to student engagement, learning, safety, and principles of community at Pacific University and supports key functions of both the Residence Life and Student Conduct departments. This person is integral in the University’s response to student conduct through work with investigations, adjudications, appeals, and educational outreach. The Coordinator also directs administrative processes for all Residence Life functions, including move-in’s and move-out’s, facility inspections, expense tracking, and key systems. The Coordinator shares responsibility for student support and emergency response, while also contributing to both departments’ missions through projects designed to enhance the quality of student life. This is a full-time, 12-month live-off position, and comes with the option of renting an apartment in campus housing.


Background information: At Pacific University, Residence Life and Housing operate as separate departments, working closely together to coordinate the campus living experience for students. Housing manages room billing, occupancy, room assignments, furniture acquisition, and facility improvements. Residence Life coordinates details involving the move-in and move-out processes, key systems, damage and cleaning charges and work requests to Facilities. Student Conduct manages all non-academic student misconduct, including residential and sexual misconduct. The departments of Residence Life and Student Conduct are overseen by one Director of Residence Life and Student Conduct; this role would serve both departments and report to the Director.

Promote responsible student behavior and learning through work in Student Conduct:

-Adjudicate and investigate conduct matters, including complaints, hearings, and appeals.
-Support the adjudication process for student sexual misconduct, including training and serving as an investigator, board member, hearing advisor and/or sanctioning officer.
-Assist with compliance, education, and training regarding Title IX, the Jeanne Clery Act, Violence Against Women Act, Campus SaVE Act, and other regulations.
-Assist with conduct processes related to sensitive matters, including sexual misconduct.
-Help provide educational outreach to the University regarding the student conduct code and conduct process and other services that the Office of Student Conduct provides.
-Help review the Code of Conduct, Student Sexual Misconduct Policy and Procedures, and student conduct processes to recommend suitable revisions.
-Contribute to maintenance of accurate and complete conduct records in compliance with the records retention policy.
-Ensure that student conduct is administered in a fair, impartial, non-adversarial, restorative, and educational manner through assisting in the recruitment and training of conduct officers and hearing board committed to this philosophy.
-Remain competent and current on the field of student conduct through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses required by the Director.

Coordinate residence hall administrative processes:

-Lead the coordination of effective and accurate move-in and move-out processes for students, utilizing database management systems for tracking room conditions, keys, and assignments.
-Perform regular inventories of keys and other residence hall resources.
-Oversee hall closing procedures through marketing, paraprofessional training, paraprofessional task assignments, room inspections, student billing, charge notifications, and follow-up communications with students and their families.
-Manage hall opening procedures, planning all details around student move-in including move-in hours, paraprofessional task assignments, and check-in station procedures.
-Coordinate periodic health and safety inspections of all residential units.
-Run monthly building walkthroughs with Housing and Facilities staff to examine all residence halls and submit maintenance requests as needed.
-Work closely with paraprofessional and their supervisors to ensure all administrative processes are completed accurately and on-time.
-Train paraprofessional and other Residence Life staff on administrative procedures.
-Possess a thorough knowledge of Housing procedures and policies.
-Develop responsible student communities by encouraging ownership of the facilities and discourages vandalism, theft, and other forms of physical destruction.
-As appropriate, act as a liaison between students, Housing, Facilities, and Conference Services in day-to-day operations to ensure a safe and sanitary living environment for students.

Contribute to the overall management, administration and coordination of all day-to-day aspects of the Residence Life and Conduct departments:

-Facilitate a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.
-Supervise paraprofessional staff, as assigned. This would be determined based on department needs, and could include supervising a residence hall and its staff.
-Meet with residential students regarding
-Be approachable and accessible to residents and student employees via office hours, email, and casual interactions. Work a flexible schedule, including some evenings, weekends, and holidays, in order to facilitate resident and student employee connections and support.
-Assist in the development and management of the Residence Life, residence halls, and residential governing organization’s budgets.
-Manage the Residence Life department email account.
-Coordinate the Residence Life paraprofessional on-call system and staffing assignments.
-Contribute to information dissemination to the campus community, including Housing and Residence Life web pages and other various publications.
-Facilitate personal and professional development of staff members so that they are effective role models, mentors, and leaders for their residents.
-Regularly participate in revising staff procedures to align practices with departmental goals.
-Participate in departmental projects and initiatives, including staff selection, assessment, and training.
-Physically respond to emergency situations in the residence halls during work day, or when on call, as necessary. Coordinate efforts with appropriate staff to ensure timely resolution.
-Collaborate with colleagues and departments across the institution to promote student learning and development, persistence, and success.
-With Director, regularly review and update fire safety, emergency, and transportation protocols and procedures with Campus Safety, Facilities Services, Counseling Center, Health Center, and Associate Vice President for Enrollment Management & Student Affairs/Dean of Students.

Participate and/or Chair or Co-Chair Departmental Responsibilities, as Assigned by Director:

-School Opening/Closing (SOSC), Facilities/Residence Life Committee, and/or Residency Options Committee,
-Professional staff selection, training and/or development,
-Residential student and/or student staff committees and/or organizations, such as Residence Hall Association and/or National Residence Hall Honorary,
-Departmental social media communications,
-Intern supervision, and/or
-Represent Residence Life at other committee meetings, as assigned by the Director.

Other Responsibilities:

-Serve in on-call rotation with other professional staff members from several areas, being able to consult and/or respond after-hours and on weekends to critical campus situations.
-Participate in regular Department of Residence Life staff meetings, Conduct Review Committee meetings, Department of Student Conduct staff meetings, and Student Life staff meetings.
-Produce Residence Life publications as directed, including but not limited to training manuals, newsletters, and memorandums.
-Contribute to and/or produce Residence Life and Conduct publications as directed, including but not limited to staff training manuals, the Residence Hall Handbook, and the Student Code of Conduct.
-Attend training, developmental programs and conferences (both regional/national) as deemed appropriate by the Director of Residence Life and Student Conduct.
-Effectively represent the residence halls, Department of Residence Life, Student Life Division, and Pacific University to colleagues, parents, alumni, and the Forest Grove community.

SECONDARY FUNCTIONS:   Perform other related duties as assigned.

JOB SCOPE:  Performs the position duties under direction of Director of Residence Life and Student Conduct, operating from established practices. Decisions are made within general University policy constraints but often require autonomous decision-making. Decisions of significant consequence are made in consultation with supervisor. Administrative responsibilities require high level of organization and initiative, and have the ability to have a significant impact on student experience and resource maintenance. Position requires strong interpersonal skills, including rapport-building and conflict management. Position requires long-range planning and visioning, and also assists with budget management.


As assigned, direct supervisory responsibility of paraprofessional staff, such as supervising a RA hall staff, and/or work study students. This responsibility would include employee evaluations, employee counseling and/or discipline, approving any absences and making any recommendations for hiring, terminations, pay changes, job changes and training. Additionally, serves in an indirect supervisory role for all paraprofessionals on residence hall administrative tasks, communicating closely with direct supervisors.


-Bachelor’s degree required.
-Master’s degree in higher education administration or closely related field strongly preferred.


-3 years of professional experience working directly in a housing, residence life, or student conduct, or similar program strongly preferred.
-Knowledge of budgeting and financial management practices.
-Possess computer skills including: Macintosh and PC computers; Windows, Microsoft Office including Outlook, Adobe Suite, database programs, and e-mail/internet.


-Communicates with students, faculty, staff and the public appropriate to the age of the individual served.
-Builds on basic learning and carries it from one situation to another.
-Demonstrates critical thinking skills in problem solving and decision-making.
-Asks questions and seeks assistance.
-Takes responsibility to eliminate the source of problems.

WORKING CONDITIONS:  Most work occurs in either an office environment or in residence halls. Required to work some evenings/weekends/holidays. Serve in on-call rotation with other professional staff members from several areas, being able to consult and/or respond after hours and on weekends to critical campus situations.

Some amount of stooping, kneeling, bending, crouching, lifting, walking, climbing stairs, carrying and other movements may be required.  Working at a computer keyboard involving extensive wrist and hand movements. All individuals are required to be able to perform these movements without a significant risk of injury to themselves or others, or to otherwise demonstrate or explain how they can perform the essential functions listed above. All Residence Life employees are required to submit to background checks.

The Coordinator is not required to live in one of the University’s residence halls, but, given the nature of the position, has the option to choose to rent one staff apartment (as available.). If the Coordinator does so, one significant other/partner/spouse and/or any children dependents are entitled to living-in while primary employee is current, pending a satisfactory background check on each individual.
