Position Summary:
The Assistant Director of UHRL for Summer Conferences directs all aspects of the Summer Conferences operations within UHRL for Portland State University.

Duties and Responsibilities:

Coordinate and Manage Summer Conferences (65%)
Oversee all aspects of the Summer Housing & Conferencing program, including:
•       Coordinate all aspects of customer service for conference guests during the conference season.
•       Communicate to other areas of campus who also manage aspects of conference visits.
•       Determine the needs of groups, and determine if and how SHC can accommodate them.
•       Create contracts that outline the services agreed upon.
•       Perform occupancy management to maximize occupancy and revenue.
•       Coordinate with vendors as needed to meet group needs.
•       Oversee all operational components including entering contracts, making bookings, reserving rooms.
•       Track communication with groups.
•       Lead the Summer Housing & Conferences Team, which includes the Accounts Coordinator, Operations Coordinator, Resident Director and Student Staff.
•       Provide direct supervision to front desk student staff.
•       Oversee the processes used by the Room & Set-Up Crew.
•       Maintain appropriate supplies and develop relationships with vendors as needed.

Marketing (25%)
•       Create a marketing plan for summer conference housing services.
•       During the off season, coordinate with the UHRL Coordinator of Marketing and Communications to attract conference guests and customers.
•       Travel as necessary to promote the marketing plan and goals.
•       Create documentation to outline the services offered by Summer Conferences.
•       Identify needs of groups and communicate ways we can meet their needs.

Planning and Budget (10%)
•       Plan and forecast each year’s budget.
•       Create sales goal for each fiscal year.
•       Communicate plans and activities with all aspects of UHRL for appropriate coordination

Minimum Qualifications
•       Masters Degree in higher education, business, hospitality, or other related industry.
•       3-5 years of program management experience in higher education or hospitality.

Other Preferred Qualifications
•       Experience in housing or conference services in higher education.
•       Experience using StarRez software.
•       Supervision experience.
